What makes Apotheo different
Apotheo is built specifically for nutrition coaching. Each service can run on a recurring check-in schedule, with separate cadences for measurements, questions, and photos, and auto-skip for overdue check-ins. Submitted check-ins contain nutrition adherence against assigned targets, macro totals, measurements, photos, habits, answers, and synced data from Apple Health, Ōura, Whoop, Fitbit and Garmin. You can reply on the same screen with rich text, attachments, quote replies, Loom video recording, and built-in voice recording. Autosave and a pop-out editor keep your draft available as you review.
One-to-one messages also support voice notes, attachments, and embedded Loom videos. Broadcasts go out as separate messages in each client’s own conversation, not an interactive group thread.
You can choose from six nutrition target types: full macros, protein and calories, calories only, protein only, fiber goals, and tracking with no target. You can also create as many custom goal or day types as you need, including training and rest days, high carb, low carb, weekdays, and weekends. Nutrition is synced from established trackers rather than a proprietary food database, so clients keep the tracker they already know. Nutrition logs sync from MacrosFirst into Apotheo, and targets you set in Apotheo can sync to MacrosFirst.
Apotheo also handles onboarding for each service and Stripe-connected payments. Teams can add unlimited coaches with Owner, Admin and Coach roles. Resources hold client materials, and exports include a roster CSV and a per-client archive. You can brand the portal and use a client URL on your own domain, with a logo and app icon inside the Apotheo client app at 20 or more clients.
For paid services, adding a client prompts them to pay after their first login, and Apotheo tracks the subscription. If a payment is overdue, the client must update their card details before submitting a check-in. If paid access has expired, they must pay again before submitting one. Pricing options can be subscriptions, single payments, or deposits. Coaches can offer alternatives or build sequential phases, such as a deposit before recurring billing or an introductory rate before the full price.
Promotion codes, pricing changes, billing-date moves, and optional proration are supported. Coaches can pause, resume, or cancel subscriptions, issue full or partial refunds, review payment history, open Stripe receipts, and configure automatic tax where applicable. Stripe hosts checkout and handles payouts and disputes, while most day-to-day subscription management happens in Apotheo. Pricing is $10 USD per active client per month, with no feature tiers, no paid add-ons, and no per-seat coach fee. Paused and lapsed clients are not billed. Stripe processing fees and available payment methods depend on the coach’s Stripe account and market and are not set by Apotheo.
Weigh the limitations before a trial. Apotheo does not provide a built-in workout builder or conventional exercise library, a meal-plan builder or generator, a built-in food database or barcode scanner, interactive group chat, or a separately published coach-branded app store listing. Training and nutrition plans are delivered as uploaded files or links, with demo videos and recipes in Resources. Apotheo is not HIPAA compliant.

Everfit
Choose Everfit if you need a workout builder and exercise library alongside nutrition coaching. Its $39 Meal Plans add-on provides generated meal plans and more than 500 recipes. Clients can log food in the app through food search, barcode scanning, MacroSnap and the Food Journal. Everfit also offers interactive group chat on Studio and a store-listed branded app at Enterprise scale.
Consider Apotheo if recurring nutrition check-ins guide how you coach clients, you want nutrition target types beyond full macros, or you want clients to keep the tracker they already use.
On base subscription, Everfit is priced lower at 5, 20, and 50 clients, checked September 2026; adding the Payments and Meal Plans add-ons reverses that only at five. Everfit sells Payments as a $9 monthly add-on, while Apotheo includes its Stripe-connected payment workflow. Verify what Everfit will export, since no bulk export of client data was found in the pages checked.

Trainerize
Choose Trainerize if you need its workout builder, exercise library, or Advanced Nutrition Coaching meal plans. Its in-app food logging includes barcode scanning in the US, Canada, Australia and the UK. Interactive group messages, five permission roles with access set by location, and a store-listed branded app may also suit your service.
Consider Apotheo if your service is based on recurring nutrition check-ins and you want flexible nutrition targets, named goal types, and data from the tracker each client already uses.
Trainerize also runs a permanent free plan for one client. With Advanced Nutrition Coaching and the $10 Stripe Integrated Payments add-on, Apotheo is priced lower up to about five clients, while Trainerize is lower at twenty and fifty, checked September 2026. Verify export scope in writing: Trainerize states that workout history, progress statistics, measurements and adherence cannot be exported.

TrueCoach
Choose TrueCoach if you need its drag-and-drop workout builder, library of more than 3,500 videos, or group messages for up to 20 participants. Group messages support voice notes. Standard and Pro also include the in-app habit and nutrition tracker and a custom branded app. TrueCoach documents client CSV import and export.
Consider Apotheo if you want to review nutrition, habits, progress, and client answers in recurring check-ins and reply on the same screen. Clients can use different supported trackers.
TrueCoach is priced lower on base subscription at every sampled roster size, checked September 2026. Where TrueCoach Payments is available, its fee of 5 percent of the invoice total including tax can outweigh the subscription saving above roughly $205 of monthly revenue per client at five clients, $324 at 20, and $333 at 50. Check that the tier you choose includes the features you rely on.

QuickCoach
Choose QuickCoach if you want task-library training programs, a flat subscription with unlimited clients and no platform transaction fee, or billing outside the platform. On Pro, clients can add your branded web app to their phone’s home screen through their browser. A free tier supports up to 20 active clients. The branded web app is not a separate App Store or Google Play listing.
Consider Apotheo if you use recurring check-ins to review and manage clients, or want billing, inbox, onboarding, roles, and exports inside one system.
The food diary is Pro only, barcode scanning requires the $12.99 Booster Pack, and the free tier includes no food diary or branding. QuickCoach Pro at $39 monthly is priced lower from four clients upward, checked September 2026, with Apotheo priced lower at one to three. Verify the total cost of the separate billing tools, since the $39 excludes payment collection and the roster CSV requires the $14.99 Coach Workflows add-on.

Get Seismic
Choose Get Seismic if you rely on cancellation forecasts, average subscription length and value, waitlists, or referrals. Premium adds surveys, business health metrics and reports, client escalations, and coach delegation.
Consider Apotheo if you want to review each client’s tracker data and reply on the same screen. Its integrations include nutrition logs from MacrosFirst and the option to sync assigned targets back to MacrosFirst.
Get Seismic Premium at $500 to 75 clients is priced lower than the per-client total for Apotheo from 51 to 75, checked September 2026. Above 75 clients, Premium+ is quoted. Apotheo is priced lower at 1 to 24 clients and 26 to 49, with the platforms level at 25 and 50. Both are nutrition coaching platforms built around check-ins, with Stripe-connected payments. PT Distinction
Choose PT Distinction if you need program building, AI generation, and an exercise library. Its nutrition tools include a calorie counter, barcode and AI label scanning, a photo diary, and an AI meal planner. It also offers interactive groups, SMS and email, PayPal alongside Stripe, and app branding on Pro and Master.
Consider Apotheo if your service is based on recurring nutrition check-ins and you need fiber goals, tracking with no target, or custom day types. Clients can keep a dedicated tracker, with MacrosFirst logs syncing into Apotheo and assigned targets syncing back. At 20 or more clients, your logo and app icon can appear inside the Apotheo app.
PT Distinction’s published subscription price is lower from two clients upward, checked September 2026. The price gap widens as the roster grows. PT Distinction supports Stripe and PayPal; Apotheo is Stripe-only and ties payment status to client access. Verify which client statuses count toward included seats and overages, the exact payment fees and controls, and which records can be exported in bulk.

Moving beyond spreadsheets
Spreadsheets remain a useful choice when negligible cost, unlimited formulas, and direct file ownership matter more than reducing manual work.
Consider Apotheo when copying client sheets, managing permissions, and chasing missed submissions take time away from coaching. It keeps nutrition data, measurements, photos, feedback, and messages together. Clients can use the mobile app, and your coaching team can work with assigned roles.
Switching to Apotheo
Switching depends on data and setup as well as product choice. The detailed comparison for each platform covers its specific limits.
- Ask the existing platform what it exports and in what format. Some data is limited to PDFs or single record exports.
- Check with Apotheo which records can be imported.
- Recreate services, check-in cadences, nutrition targets, habits, resources, branding, and payment setup.
- Test with one client: connect the tracker, run a check-in, send feedback, and confirm measurements, photos, and habits appear as expected.
- Check billing before moving the roster. For your test client, confirm the Stripe connection, payment amount, renewal date, paid access, and assigned service. Check that the move will not create a duplicate charge.
- Keep access to the old platform until the required history is verified, where its terms allow.
Apotheo can review your previous platform’s export and help move the records it contains. The transfer requires assistance, and complete history is not guaranteed.

Is Apotheo cheaper than other coaching platforms?
There is no universal answer. On published base subscription Apotheo is not the lower-priced option against Everfit, TrueCoach, QuickCoach, or PT Distinction at most sampled roster sizes, checked September 2026. For nutrition coaches comparing Trainerize with Advanced Nutrition Coaching and Stripe Integrated Payments, Apotheo is lower through about five clients, while Trainerize is lower at twenty and fifty. Transaction fees or add-ons can reverse other comparisons. Against Get Seismic, Apotheo is priced lower or level through 50 clients and priced higher from 51 to 75.
Can Apotheo import clients from another platform?
Migration assistance is limited to what the previous platform exports. Coaches who leave Apotheo can export check-ins, measurements, nutrition data, photos, habits, and messages, as a roster CSV plus a per-client archive.
Does Apotheo include workout or meal plan builders?
No. There is no built-in workout builder, exercise library, or meal-plan generator. Training and nutrition plans are delivered as uploaded files or links, and demonstration videos and recipes can be added to the resource library.
Can clients continue using their existing nutrition tracker?
Yes. The nutrition tracking integrations include Cronometer, MyFitnessPal, MacrosFirst, Fitbit nutrition, Nutracheck, MyMacros+, and Apple Health. MacroFactor connects through Apple Health on iOS. MacrosFirst nutrition logs sync into Apotheo, and assigned targets can sync back to MacrosFirst.
Does Apotheo offer a branded app or custom client URL?
Apotheo provides a custom client URL on your own domain and, for coaches with 20 or more clients, a logo and app icon inside the Apotheo app. Portal colors and logo are available more broadly. There is no separately listed coach-branded app.
