A product built around check-ins

Both platforms offer recurring check-ins. Compare how you schedule them, what each submission includes, and how you review and reply.

In Apotheo, cadence is set for each service you offer rather than for each client. A service defines how often clients check in, with separate schedules for measurements, check-in questions, and progress photos. When a client does not submit, the check-in auto-skips after a configured delay, so a missing submission does not block the next one. One service can require nutrition tracking and questions weekly, collect measurements every two weeks, and photos every four weeks.

A submitted check-in contains notes, progress photos, measurements, habit completion, prior messages, and the answers to the service’s questions. For clients who connect Apple Health, Ōura, Whoop, Fitbit, or Garmin, it also includes synced data. Food logs show adherence to the client’s assigned nutrition targets and a table of daily macro totals. You can review those details together before replying.

You write your reply on the same screen. The editor supports rich text, attachments, quote replies, Loom recording, built-in voice recording, autosave, and a pop-out view that stays visible while you scroll the submission. Questions can use scales (e.g. 1 to 5), short or long text, multiple choice, single choice, dropdowns, yes or no, numbers, dates, and file uploads. Any question can be required or hidden and can include help text.

QuickCoach offers client check-ins and survey feedback, and you can see a client’s assigned, skipped, and completed plans with comments. Its Coach Workflows add-on includes a Client Check-in workflow that creates and publishes a dated check-in plan with your questions at the top of the client’s plan list, then emails the client with a training link and sends a push notification, in one action. That workflow runs on demand, for one client at a time. It saves you from assembling a check-in by hand, but it is not a recurring schedule attached to a service. Nutrition targets and connected food trackers

One client may need a full macro split; another may need only a protein target. You might set a fiber floor while keeping calories steady, or ask a client to practice logging before assigning a target.

Apotheo offers six nutrition target types covering that range, including protein only, fiber goals, and tracking with no target at all. On top of the target type, you can create as many named goal types as you need, with examples to start from. The nutrition target sets the numbers for the period, while the goal type names the approach the client is on. Clients following different nutrition approaches can still share a service’s check-in schedule.

Apotheo has no built-in food diary. Clients keep the tracker they already use, and nutrition logs sync into the check-in for review against the assigned nutrition targets, with adherence and a daily macro table. Seven nutrition integrations are supported, plus MacroFactor reaching Apotheo through Apple Health on iOS. Each client connects one tracker at a time. MacrosFirst logs sync into Apotheo, and nutrition targets you set in Apotheo can sync back to MacrosFirst.

QuickCoach Pro includes a food diary with a 2.3-million-item food search and photo-estimated logging, alongside multi-habit tracking with history. Barcode scanning sits in the Nutrition Booster Pack add-on. Clients can log food in the same platform where you assign their training.

Choose based on where you want clients to record food: in the coaching platform or in their existing tracker.

Bringing client billing into the coaching platform

QuickCoach leaves billing outside the product and takes no platform transaction fee. Apotheo includes Stripe-connected billing in the client workflow. A client on a paid service sees the payment page after first login, Apotheo tracks the subscription, and payment status affects access. Overdue clients must update their card details before submitting a check-in; clients whose access has expired must pay again before submitting one.

A coach can charge a subscription, a single payment, or a deposit. Several options can be offered side by side, or pricing phases can run in sequence, such as a deposit before monthly billing or a discounted first month before the normal price. Stripe moves the client through the scheduled phases.

The connected workflow also covers promotion codes, pricing changes, billing-date moves, and optional proration applied immediately or on the next invoice. Pausing, resuming, cancelling, refunding, payment history, and Stripe receipts are handled from the client record. Automatic tax can be configured in Stripe. Stripe remains responsible for checkout, payouts, and disputes, while most subscription management stays in Apotheo. Compare the cost of Apotheo and Stripe with QuickCoach and the billing tools you would use alongside it.

What you would give up

Moving to Apotheo changes how you deliver training, where clients log food, and how they access your branded app.

A workout builder and an exercise library. Apotheo has no workout builder, training-variable editor, or curated exercise database. A training plan is delivered as an uploaded file or an external link with a start date, duration, video, and comments, and demo videos are assembled in Resources. Apotheo delivers plans; it does not build them. If training programs are your main deliverable, keep QuickCoach or another programming tool.

A built-in food diary. Clients who use QuickCoach Pro’s diary would need a separate tracker in Apotheo. That means replacing QuickCoach’s 2.3-million-item food search, photo-estimated entries, and the Nutrition Booster Pack’s barcode scanning with the features in their chosen tracker.

A branded app the client installs under your name. QuickCoach offers a branded web app on Pro that clients can add to their phone’s home screen through their browser, with no setup fee and no per-client charge. Apotheo applies logo and app-icon treatment inside the Apotheo client app once you have 20 or more clients, plus a custom client URL on your own domain. Clients install the Apotheo app. Neither option gives you a separate app-store listing.

Pricing, checked September 2026

QuickCoach’s own pages state that Hale Health acquired the platform in December 2025, that it is staying open with the free tier staying free, and that nutrition and multi-habit tracking were released on Pro in July 2026. The list prices below were checked September 2026.

QuickCoach Pro costs $39 a month or $390 a year, equivalent to $32.50 a month. Two add-ons sit outside Pro and both require an active Pro subscription: Coach Workflows at $14.99 a month, or $12.42 effective annually, and the Nutrition Booster Pack at $12.99 a month, or $10.75 effective annually, which adds barcode scanning to the client food log. QuickCoach Free is $0 to 20 active clients and excludes nutrition, multi-habit tracking, branding, and inactive-client history.

Apotheo is $10 per active client per month. Paused and lapsed clients are not billed. There are no feature tiers and no add-ons. Apotheo’s pricing documentation states that Stripe charges its own standard rates on payments collected through Stripe Connect and that Apotheo does not set them. Stripe publishes those on its pricing page.

Apotheo is lower on platform fee at one, two, and three active clients when compared with QuickCoach Pro. From four active clients upward QuickCoach Pro is lower, and the difference increases with every client added. With both QuickCoach add-ons, at $66.98 a month or $55.67 annual effective, Apotheo remains lower through six active clients on monthly billing or five on annual billing. QuickCoach is lower from seven or six respectively. If platform fee is your only concern, QuickCoach wins once you cross those points.

The subscriptions include different features. QuickCoach’s $39 includes programming with the task library, the Pro diary and habits, the branded web app clients can add to their phone’s home screen through their browser, and push notifications. The on-demand Client Check-in workflow requires the Coach Workflows add-on. QuickCoach does not collect client payments. Coaches use bank transfer, Stripe, PayPal, direct debit, or a gym system, and QuickCoach charges no platform transaction fee. QuickCoach has no inbox. Its roster CSV and Client Insight report require the $14.99 Coach Workflows add-on.

Apotheo’s $10 per active client includes Stripe Connect billing with subscriptions, pauses, and cancellations. It also includes the inbox, service-specific onboarding, Owner, Admin, and Coach roles, and roster and per-client exports. Stripe processing is separate.

The table compares platform fees, not total operating cost. It excludes the external billing tools used with QuickCoach and Stripe processing used with Apotheo, both of which vary.

Branding, custom URL, and app listings

Branding is four separate things: the logo and colors a client sees, the web address they visit, the app they install, and where that app is listed.

QuickCoach Pro includes a branded web app with no setup fee or per-client charge. Clients add it to their phone’s home screen through their browser. It has your branding, but it does not have a separate App Store listing.

Apotheo applies logo and app-icon treatment inside the Apotheo client app once you have 20 or more clients, and offers a custom client URL on your own domain for the web experience. The app the client installs belongs to the vendor. This fits a business that wants its own web address and branding inside a shared app; it does not provide a separate store listing.

Teams, messaging, and onboarding

Check how each coach would access and manage their assigned clients.

QuickCoach documents no team roles or shared permissions beyond the coach account. Client management runs through your own list and assignments.

Apotheo has unlimited coaches under three roles, Owner, Admin, and Coach. Each coach holds their own assigned clients, and clients move between coaches. Six of Apotheo’s published Coach Stories are coaches running teams on the platform: Sohee, Kate, Laura, Emilia, Anna, and Alexa.

QuickCoach offers custom notifications on Pro and no inbox, so conversation happens outside the platform. An Apotheo message thread supports rich text, attachments and photos, voice recorded in the conversation, Loom video recorded from the editor and embedded in the conversation, resource links, and quote replies. Broadcasts reach a chosen set of clients as separate private messages, not a shared thread, and there is no interactive group conversation. A message of the day shows a dashboard announcement to every client, or to the clients on chosen services, for the dates you set.

Onboarding in Apotheo is configured per service: a login link, a customizable agreement, a signup form, optional payment collection at signup, and the resources you attach to the service, so a nutrition-only service and a premium check-in cadence can have different entry steps. Setup help is hands-on, including a free call with the founder. QuickCoach invites clients one by one with a single link and a re-onboarding email.

Moving your clients from QuickCoach

What you can move depends on what QuickCoach can export.

The Coach Workflows add-on includes a Client List Export. It emails a CSV with your client list, upcoming, draft, done, and skipped plans, completion rates, last-activity dates, and each client’s training link. You can save individual plans as PDFs using the printer icon on each tab of a client’s account. The per-client Insight Report PDF covers the last eight weeks of plans, adherence trends, fatigue signals, and how the client says they have been feeling. No export of check-in answers, habit history, or food logs appeared in the Help Center pages checked September 2026. Ask its support what it will supply beyond the add-on’s CSV and the PDFs, and in what format, before you set a moving date.

Apotheo offers assisted migration limited to what QuickCoach exports, handled by its team. Ask QuickCoach support about additional exports, then have Apotheo’s team assess the files.

Set up the rest in Apotheo:

  • Invite clients through a signup form or login link. Each client who needs nutrition sync connects a tracker.
  • Create services and set the check-in, measurement, question, and photo schedules.
  • Assign nutrition targets and goal types per client.
  • Add check-in questions and habits, including any required, hidden, and help-text settings.
  • Add resources, files, and links for messages and check-in responses.

Check how you would get data out of Apotheo later. You can export a client roster CSV and trigger a per-client archive holding CSVs for check-in answers, habits, measurements, daily nutrition and wellness data, nutrition-target history, and signup answers, message history as text files, and progress photos as image files, emailed as a link that expires after seven days. Invoices and full payment history are not confirmed as contents of that archive.

Check retention terms before closing the old account. QuickCoach’s Privacy Policy, dated August 21, 2026, retains active-account data for as long as required to provide the service. It retains closed-account data unless a deletion request is submitted, keeps certain data where the law requires, and lists data portability for EU and UK residents. Apotheo’s privacy policy keeps personal information only as long as necessary for the purposes it sets out, with no stated purpose requiring retention beyond the life of the account. Where longer retention is required, it deletes, anonymizes, or isolates data in backups until deletion is possible.

Who should stay with QuickCoach

Stay if the product you sell is the training program and the built-in diary is part of that sale. The task library, templates and drafts, client assignments, the Pro diary with its search library and photo-estimated logging, and the flat subscription for unlimited clients support a service focused on training.

Stay if you already bill through your gym or your own Stripe, PayPal, or direct debit setup and want revenue kept outside the coaching platform. QuickCoach does not collect client payments and takes no platform transaction fee.

Stay if the free tier covers you today. Free runs to 20 active clients without nutrition, multi-habit tracking, branding, or inactive-client history, and there is no platform-fee reason to move off it.

Stay if you do not need Apotheo’s six per-client nutrition target types, named goal types, built-in payments, or inbox. Switching will not give you a store-listed app, and no interactive group conversation is documented for either platform.

Who should switch to Apotheo

Switch if your service is based on recurring nutrition check-ins and you want them scheduled automatically. If you run several services with different check-in cadences and want each submitted check-in to contain everything you need to review, Apotheo is built for that.

Switch if per-client nutrition target types matter to your method. A protein floor with no calorie number, a fiber target, and a client tracking with nothing prescribed are three separate coaching decisions, and named goal types let you apply one method across a roster.

Switch if your clients have a tracking app they prefer. Apotheo supports seven nutrition integrations plus MacroFactor through Apple Health on iOS. MacrosFirst can also receive nutrition targets set in Apotheo.

Before you switch, verify

Ask QuickCoach support what it will export beyond the add-on’s roster CSV and the per-plan PDFs, and in what format. Use the answer to confirm what can move and what you need to rebuild. Neither platform’s documentation promises that check-in, habit, or food-log history will transfer between them.

Check which trackers your roster actually uses, and whether each is one of Apotheo’s seven supported nutrition integrations or reaches it through Apple Health with MacroFactor on iOS.
