Looking for a Practice Better alternative? Practice Better is practice-management and health-record software for health practitioners, with charting, appointments, telehealth, insurance tools and programs. Apotheo is for coaches whose service centers on the weekly nutrition check-in, outside HIPAA-covered care. If you need a signed business associate agreement (BAA) or those clinical tools, stay with Practice Better.

What you see in a check-in

In Apotheo, each service starts with a check-in schedule, so there is nothing to assemble. Open a check-in and you see, on one screen:

  • the week’s nutrition logs against the client’s targets
  • measurements with charts, and progress photos
  • habit completion and streaks
  • synced data from Apple Health, Ōura, Whoop and Garmin
  • the client’s answers and your message thread

You can open a check-in while the client is still filling it in and start drafting your reply. Reply with text, voice, attachments, or Loom video.

Late check-ins don’t pile up. Turn on auto-skip and an overdue check-in is skipped after the number of days you choose. You and the client get an email, and the next check-in is scheduled as usual. You can also let clients skip a week themselves, with a limit if you want one.

Practice Better’s recurring forms start on the Professional plan. You build the form in Forms & Waivers, then create each schedule from an individual client’s record: daily, weekly or monthly. Responses sit in that client’s Forms & Waivers section. Food, mood, measurements and wearable data live in a separate journal area, where you can comment on each day. Replying on a form response isn’t described in Practice Better’s help docs.

Clinical care and practice management

Practice Better is built for health practitioners. You can sign a BAA from your account, keep charts and session notes, run scheduling and telehealth, handle insurance and superbills, and sell programs. Practitioners and clients both have mobile apps.

Apotheo isn’t HIPAA compliant and doesn’t sign BAAs. It is built for nutrition coaching outside HIPAA-covered care, not as a replacement for clinical records, appointments or insurance workflows. If those are central to your practice, Practice Better is the better fit.

Nutrition targets and trackers

Practice Better has its own Food & Mood journal, so clients can log in the same app, and it connects to Cronometer from Starter. Apotheo has no food log of its own. Each client connects one supported tracker instead: Cronometer, MyFitnessPal, MacrosFirst, MyMacros+, Nutracheck or Apple Health. MacroFactor can sync via Apple Health, and MacrosFirst can also receive the targets you set in Apotheo.

Set full macros, protein and calories, calories only, protein only, a fiber target, or tracking without a target. Create goal types for different days, then review adherence in the check-in.

Pick Apotheo if…

  • You coach outside HIPAA-covered care and want your service centered on a recurring nutrition check-in.
  • You want a check-in schedule per service, instead of setting up recurring forms from individual client records.
  • You want answers, nutrition logs, measurements, wearable data and messages together, instead of forms and journals in separate areas.
  • You want to draft a reply during an in-progress check-in and respond with text, voice, attachments or Loom.
  • You want clients to keep a supported tracker such as MyFitnessPal or MacrosFirst, with targets you set in Apotheo.

Moving from Practice Better

Every new coach can book a free onboarding call with Adam, Apotheo’s founder. If you’re moving a larger roster, we assess migration help case by case. What can transfer depends on what Practice Better exports, so we look at the export with you before you set a moving date. You’ll set up services, questions, targets, habits, and resources, and each client connects their tracker once.

See how switching works.

In depth

Monthly pricing

Active clients Practice Better Apotheo
5$35 Starter$50
20$69 Professional$200
50$69 Professional$500

These are Practice Better’s lowest plans that fit each roster on monthly billing; annual billing is cheaper. Sprout is free for up to three clients. Starter caps at 10 clients and sends one-time forms only, so a five-client coach who wants recurring check-in forms needs Professional at $69. Practice Better gates features by plan, and deactivated clients still count toward its client caps. Apotheo charges for active clients only, with no tiers or add-ons.

Common questions

Can I send recurring check-ins on Practice Better Starter?

Starter sends one-time forms. Recurring forms start on Professional, at $69 a month on monthly billing.

Does Apotheo sign a BAA?

No. Apotheo isn’t HIPAA compliant and doesn’t offer BAAs. If you need one, stay with Practice Better, which offers a signable BAA.

Can my clients keep their food tracker?

If Apotheo supports it, yes. Each client connects one tracker, such as Cronometer, MyFitnessPal or MacrosFirst. Clients who log in Practice Better’s journal will move to a supported tracker.

Can I move my clients from Practice Better?

Practice Better’s help docs describe exporting client data. What Apotheo can import depends on that export, and we assess migration help for larger rosters case by case. See how switching works.

Can I try Apotheo first?

Yes. The free trial needs no credit card, and every new coach can book a free onboarding call with Adam.
