What you gain: a product built around check-ins

Both platforms offer recurring check-ins. Compare how you schedule them, what each submission includes, and how you review and reply.

PT Distinction uses forms for check-ins. Its documentation describes built-in and custom forms assigned to clients or groups, scheduled weekly or on a custom cadence, with reminders for missed check-ins. You configure the form, set the schedule, and place the check-in wherever it belongs among programs, assessments, groups, and automations.

In Apotheo, the recurring check-in is the standard operating workflow. Cadence is set for each service you offer, with separate schedules for measurements, questions, and photos, and overdue check-ins auto-skip after a configured delay so the due list stays current. A submitted check-in contains notes, progress photos, measurements, data synced from Apple Health, Ōura, Whoop, Fitbit, or Garmin where a client has connected one, food logs with adherence to that client’s assigned nutrition targets and a table of each day’s macro totals, habit completion, prior messages, and the answers to the service’s questions. The dashboard shows which check-ins need attention.

The response editor sits beside that data rather than in a separate inbox. It supports rich text and attachments, quote replies that pull the client’s answers into the response, a video recording option that uses Loom, built-in voice recording, autosave, and a pop-out editor that keeps the draft in view while you scroll the check-in. What each check-in asks is configured per service, with available question types covering scale (for example, 1 to 5), short text, long text, multiple choice, single choice and dropdowns, yes or no, number and date, and file uploads, plus formatting conditions such as a limit on answer length.

Apotheo suits a service focused on reviewing and responding to nutrition check-ins. PT Distinction gives you more ways to place a check-in among training programs, assessments, and group activities.

Nutrition targets and tracking on both sides

PT Distinction offers built-in nutrition tracking and meal-planning tools, checked September 2026: an AI meal planner, a calorie counter with barcode and AI label scanning, a photo food diary, calories, macros and micronutrients, adherence views, meal feedback, recipes and dishes, templates, and habits. Its MyFitnessPal integration brings nutrition totals and goals into PT Distinction. Clients can log food and receive meal plans inside the app.

PT Distinction publicly calls its MyFitnessPal connection “two-way,” but its detailed pages only explain data coming into PT Distinction. They do not explain what, if anything, moves back to MyFitnessPal or whether coach-assigned calorie or macro targets can be sent there. The pages checked also leave several questions open: whether PT Distinction has a fiber-specific goal, an option to track without a target, unlimited custom goal or day types, and which trackers it supports. Ask about the options you need and what data syncs in each direction.

Apotheo has no built-in food database or barcode scanner. Food logging happens in the tracker the client already uses, and the log syncs into the check-in for review against the nutrition targets you assign in Apotheo.

The nutrition target type is set per client. Apotheo offers six target types: full macros with calories, protein and calories, calories only, protein only, fiber goals, and tracking with no target at all. You can set a daily fiber floor in grams where it matters and customize it per client. You can create as many named goal or day types as you need, with different targets for training days, rest days, or other days your method calls for.

A client connects one tracker at a time, since two connected trackers would overwrite each other on sync. Apotheo offers seven integrations plus a MacroFactor path on iOS: Cronometer, MyFitnessPal, MacrosFirst, Fitbit nutrition, Nutracheck, MyMacros+, Apple Health, and MacroFactor through Apple Health. MacrosFirst logs sync into Apotheo, and nutrition targets you set in Apotheo can sync back to MacrosFirst. Logging never moves into Apotheo itself, so a client who wants one app for both logging and coaching will need two apps.

The right approach depends on how clients prefer to log food and how you set their targets. If clients want logging, scanning, and a meal planner inside the coaching app, PT Distinction offers that. If they already use a dedicated tracker and you want per-client target types, fiber goals, and unlimited day types tied to a central check-in, Apotheo supports that approach.

Stripe payments tied to client access

PT Distinction can automatically onboard clients who buy packages through Stripe or PayPal. Its current public pages also describe connecting Stripe through Zapier to add clients to PT Distinction and assign packages, so confirm which setup applies to the package you plan to sell. Confirm its fees and what happens after a failed payment, including whether it restricts check-in access. Apotheo is Stripe-only, so coaches who need PayPal have a reason to stay.

When you add a client to a paid service in Apotheo, payment is part of the login and check-in workflow. On first login, the client is prompted to pay, and Apotheo tracks the subscription from then on. An overdue client must update their card details before submitting a check-in, and a client whose access has expired must pay again before submitting one.

Payment terms can be set as a subscription, a single payment, or a deposit. Coaches can offer several alternative prices or create sequential phases, including a deposit before recurring payments or an introductory rate before the full price. Subscription schedules advance automatically through Stripe.

The same connection supports promotion codes, pricing-option changes, billing-date moves, and optional proration now or on the next invoice. Apotheo also documents pauses, resumptions, scheduled and immediate cancellations, full or partial refunds, payment history, Stripe receipts, and configurable automatic tax. Most subscription management is available in Apotheo, while Stripe handles checkout, payouts, and disputes. Processing rates and available methods depend on the Stripe account and country.

What you would give up

Check which of these PT Distinction features you use before deciding to move.

Native workouts. PT Distinction offers a program builder, an AI program generator, and an exercise library presented at signup as 1,656 exercise videos, with programs built, assigned, and progressed inside the platform. Apotheo builds no workouts. Training plans are uploaded or linked, and demonstration videos are assembled in Resources. Programs cannot be imported into a product with no builder, so if you sell training as a core deliverable you will need to handle workout programming elsewhere.

Native meal planning, recipes, and food logging. PT Distinction’s AI meal planner, dishes and recipe database, calorie counter with barcode and AI label scanning, and photo diary all sit inside the app. Apotheo delivers plans; it does not build them. It hands a client a meal plan as a file or a link, holds recipes in Resources, and receives food logs from a synced tracker the client maintains.

Group chat, SMS, and email. PT Distinction offers group chat where clients participate and you can join or toggle access, plus in-app chat, email, SMS, scheduled messages and reminders, broadcasts, files, and voice notes with transcription. Apotheo offers one-to-one messages and individualized broadcasts that arrive as separate private messages. You can still send an announcement to selected clients, but Apotheo does not provide a room where clients talk to each other.

PayPal. PT Distinction offers Stripe and PayPal payments; Apotheo runs client payments through Stripe.

A store-listed branded app. Custom branded apps sit on PT Distinction’s Pro and Master tiers. Apotheo has no separately listed coach app, and applies branding inside its own.

The lower published price. On steady-state monthly platform prices checked September 2026, Apotheo is lower at one active client and PT Distinction is lower at two or more. That is arithmetic on list prices rather than a judgment about total cost.

Pricing, checked September 2026

PT Distinction lists three tiers with included clients and overages: Basic at $19.90 a month including 3 clients, then $6 per client; Pro at $59.90 including 25, then $2.40; Master at $89.90 including 50, then $1.60. Each extra client’s first month is free before the overage rate applies, and unlimited trainers are included on every tier. The plan table gates custom app branding to Pro and Master, not Basic. The trial runs one month, requires payment details, and auto-converts if it is not canceled.

Apotheo charges $10 per active client per month, and paused and lapsed clients are not billed. There are no feature tiers, paid add-ons, setup fee, client limit, or per-seat charge for coaches, and the trial runs 14 days with no credit card.

The table takes the lowest-cost PT Distinction plan at each roster size: Basic to 3 clients, Basic with overages to 9, Pro to 25, Pro with overages to 37, Master to 50, and Master with overages above that. Overages use the steady-state rate after the extra client’s first free month, and no promotion is included.

At one active client, Apotheo is lower on published platform price. At every roster of two or more, PT Distinction is lower, and the gap widens with the roster. Apotheo says its per-client price is designed for one-to-one nutrition coaches who give each client a high level of support, with the fee intended to be a small share of what that coach charges the client.

These figures cover published platform price, not total cost. The features you need and the clients each platform bills for also matter. Paused and lapsed clients are not billed on Apotheo, while PT Distinction’s counting of inactive, archived, invited, or paused clients was not found in the pages checked, so the two active counts may not be identical. Stripe’s payment processing fees are separate from the platform price and are not set by Apotheo, and PT Distinction’s total payment fee schedule was not captured, so confirm those charges before comparing totals.

Branding, custom URL, and app listings

Check the client portal, web address, branding inside the app, and app-store listing separately.

Portal branding puts the login and client portal under your own name and colors. A custom client URL on your own domain means the address carries your brand rather than a shared platform domain. Logo and app-icon treatment applies inside the existing Apotheo app once you have 20 or more active clients, with no feature tier gating any of it. A separately published app is the one Apotheo does not offer: the client installs the Apotheo app with your branding applied inside it.

PT Distinction offers custom branded apps on Pro and Master, not Basic, and store listings differ by platform: Android can use your name and store listing, while iOS uses a generic or shared listing with branding applied after login. Whether PT Distinction supports a custom client URL on your own domain was not found in the pages checked, so ask if it matters to you.

If you need a store listing from the first client, look at PT Distinction’s Pro and Master plans, keeping the iOS limitation in mind. If you want a custom-domain portal and in-app branding without tier gating, Apotheo offers both, but clients still install the Apotheo app.

Teams, messaging, and onboarding

Both platforms include additional coaches at no extra charge. Apotheo includes unlimited coaches with fixed Owner, Admin, and Coach roles; clients are assigned to a coach and reassigned when a signup is distributed or a coach leaves. There are no custom roles beyond the three, so a business that needs granular permissions will not find role creation here. Six of Apotheo’s published Coach Stories are coaches running teams on the platform: Sohee Carpenter, Kate Lyman, Laura Savino, Emilia Thompson, Anna Munday, and Alexa Mina. PT Distinction includes unlimited trainers free on all tiers, and its roles and permissions were not found in the pages checked, which leaves access control an open question for a team sharing clients, programs, or billing duties.

An Apotheo message thread supports rich text, attachments and photos, voice recorded in the conversation, Loom video embedded in the thread, resource links, and quote replies, and broadcasts reach a chosen set of clients as separate private messages. A message of the day shows a dashboard announcement to every client, or to the clients on chosen services, for the dates you set. PT Distinction also lets you reach clients through email, SMS, and group chat.

Client onboarding is offered on both sides. Apotheo adds a client to a service with a login link, a customizable agreement, a signup form, optional payment collection, and the resources you attach to the service, and the service defines the check-in cadence from then on. Setup help includes a free call with the founder. PT Distinction offers templates, packages, and automated onboarding as part of its broader suite.

Switching from PT Distinction

Before moving, ask PT Distinction which data you can export. That determines what Apotheo can help import and what you will need to recreate. PT Distinction’s business-owner export inventory and any vendor migration support were not found in the pages checked, so that is the first conversation to have.

Inventory PT Distinction data before canceling. Confirm which client records, forms and check-ins, measurements, progress photos, messages, nutrition history, training programs, resources, and payment or subscription records PT Distinction can export, and in which formats. Secure the files before the subscription ends.

Check what can be imported. Apotheo’s team can assess structured files such as client lists, measurement histories, or nutrition exports to see what can be imported. Apotheo offers assisted migration limited to whatever PT Distinction exports, and no duration is promised. You rebuild the rest:

  • Branded-app configuration
  • Program and automation logic
  • Form definitions and their schedules
  • Interactive group history and membership
  • Message threads outside the export, and resources referencing app-specific paths
  • Client payment authorizations or subscriptions that need to be set up again

Set up Apotheo. Set up services, check-in schedules, questions, habits, and measurements. Assign nutrition targets and custom day types, including fiber where relevant, and add resources and linked or uploaded plans. Then configure tracker connections, team roles, branding, your custom client URL, and Stripe payments. Check the response editor as part of this setup.

Pilot with a small representative group. Cover different client types, tracker choices, check-in schedules, billing states, and resource needs. Have those clients complete a real check-in and confirm you can respond with rich text, quote reply, recorded video, or voice as intended. Finish checking each part of the setup before moving the rest of your clients.

Check the imported records. Compare client counts and identities, current nutrition targets, and the last check-in with your old records. Check that measurements, photos, required messages, and files are available. Confirm due dates, permissions, and payment status, and check that overdue check-ins skip on the schedule you set.

Plan the billing change. Check renewal dates and existing client subscriptions before starting billing in Apotheo and Stripe. Make sure clients will not be charged twice, decide how to handle failed payments, and explain the change to them. Confirm what cancellation means for your own PT Distinction subscription and access. PT Distinction’s terms say access continues through the paid period after canceling.

Move the remaining clients after those checks. Invite them and keep copies of the records you need. Explain their new login, tracker connection, and payment steps, then monitor the first check-in cycle. Cancel PT Distinction when the move is complete and you are ready to close it.

Check how you would get data out later. You can export the roster and per-client archives covering check-ins, habits, measurements, nutrition and wellness information, nutrition target history, signup answers, message-history text, and progress photos, with messages as text files and photos as image files. Apotheo’s Privacy Policy does not promise a fixed retention period after account closure. On the PT Distinction side, canceling a subscription does not automatically delete account data, and deletion can be requested subject to legal and backup retention.

Who should stay with PT Distinction, who should switch to Apotheo

Stay with PT Distinction if you build and progress training programs in its workout tools, AI generator, and exercise library. It also fits clients who expect to log food, scan barcodes, and receive generated meal plans in the coaching app. Keep its group chat, SMS, and email channels in mind if they are part of your service, along with PayPal payments and custom app branding on Pro or Master.
