Recurring check-ins on Get Seismic and Apotheo
Seismic offers automatically scheduled recurring check-ins as its standard workflow. Its homepage describes check-in scheduling, a calendar of upcoming check-ins, one-to-one messaging, business dashboard metrics, and progress graphs, and a 2022 sponsored feature describes weekly check-ins collecting food logs, measurements, mood metrics, photos, and written answers, alongside Stripe billing and report templates.
The pages checked did not show Seismic’s current review screen, response editor, or question types. Its public support area linked to three general FAQ articles last modified in 2023. Ask for a walkthrough on your intended plan to see how reviewing and replying would work.
In Apotheo, you set the check-in cadence for each service rather than per client. Two services can run on two schedules, with separate timing for measurements, questions, and photos within each service. Overdue check-ins auto-skip after a configured delay, so a missed week does not leave an open check-in behind.
A submitted check-in contains client notes, progress photos, measurements, habit completion and streaks, prior messages, and answers to the service’s questions. Food logs show adherence to assigned nutrition targets and each day’s macro totals. Data from Apple Health, Ōura, Whoop, Fitbit, or Garmin appears when the client connects them. You can review it all on one screen while the client keeps using their tracker.
You write the reply on that same screen using rich text, attachments, quote replies that pull the client’s answers into the response, Loom video recording, built-in voice recording, autosave, and a pop-out editor that keeps the draft in view while you scroll the check-in.
What each check-in asks is configured per service. Goal types let you vary those targets by day. You can create as many named goal or day types as you need, each holding its own values: training and rest days, high-carb and low-carb, weekdays and weekends, or whatever the phase actually needs. All Days, Training Days, Rest Days, Weekdays, and Weekends are starting points rather than a closed list, and changing the pattern does not mean rebuilding the service.
The pages checked did not explain Seismic’s nutrition target settings. Its customer spotlights describe MacrosFirst and MyFitnessPal syncing, but do not show which target types, fiber goals, or named day types coaches can set. Ask Seismic to demonstrate the target patterns you use.
Both products connect with external nutrition trackers. Managing client payments in Apotheo
Get Seismic and Apotheo both collect client payments through Stripe. Confirm Seismic’s fees and subscription controls on the plan you would buy; the available documentation does not support a total-cost comparison. In Apotheo, a client added to a paid service is prompted to pay after first login, and Apotheo tracks the subscription. An overdue client must update their card details before submitting a check-in; a client whose access has expired must pay again before submitting one.

Seismic offers several tools for running the business. Basic lists templates, referrals, and client coupons. Standard adds waitlists. Premium adds surveys, business health metrics, reports, client escalations, and coach delegation. Premium+ adds custom support options. Seismic also lists cancellation forecasts and average subscription length and value.
Apotheo offers dashboard views, team roles, payments, messaging, and Zapier automation. These do not replace Seismic’s surveys, business health metrics, client escalations, or reports. If you rely on those tools, confirm that your chosen Seismic plan includes the reports and delegation features you need.
Apotheo also has these limitations:

Apotheo charges $10 per active client per month, with no feature tiers, no paid add-ons, no setup fee, no client limit, and no per-seat team fee. Paused and lapsed clients are not billed. Stripe processing is separate from the $10 and is not set by Apotheo.
The table compares the lowest published Seismic tier that fits each roster with Apotheo’s $10 per active client. It covers platform subscriptions only, without transaction fees or extra features. Seismic’s definitions of active and inactive clients, annual pricing, and negotiated pricing were not available in the pages checked.

Across the full range, Apotheo’s published platform price is lower from 1 through 24 clients, ties at 25, is lower again from 26 through 49, ties at 50, and is higher than Premium from 51 through 75, where $500 holds flat while the per-client total keeps climbing $10 a client. Above 75, Premium+ is quote-based, so nothing can be concluded without the quote.
A sixth client moves Seismic from Basic to Standard, $185 against $60. A twenty-sixth moves it from Pro to Premium, $500 against $260. Between those thresholds, Seismic’s tier price stays fixed while Apotheo’s bill changes with the active roster.
Before comparing total costs, confirm whether Seismic counts paused, lapsed, archived, invited, or inactive clients toward its limit. Its platform transaction fees, processing rates, and payout and refund terms were not established in the pages checked. Only the first trial signup form was visible, so confirm whether a card is required later. Both platforms collect payments through Stripe, and Apotheo includes its payment workflow in the platform price.
Apotheo says its per-client fee is intended to be a small share of what a high-support, one-to-one nutrition coach charges that client.

Logo and app-icon treatment inside the Apotheo client app is offered once you have 20 or more clients, so your logo appears where the app is installed. Apotheo also offers a custom client URL on your own domain. Apotheo does not offer a separate app store listing under your business name.
The pages checked did not describe Seismic’s portal colors and logos, custom domains, branded emails, or app branding. Ask which options it offers and which plan includes them.
Teams, messaging, and onboarding
Seismic lists coach delegation on Premium and one-to-one coach and client messaging on its homepage and in customer spotlights. The pages checked did not specify coach limits, roles, permissions, or extra-seat fees. Confirm that your intended plan covers your team.
Apotheo has unlimited coaches with three fixed roles, owner, admin, and coach. Coaches have assigned clients, and you can move clients between coaches. There are no per-seat fees or client caps. Six of Apotheo’s published Coach Stories are coaches running teams on the platform. An Apotheo message thread supports rich text, attachments, voice recorded in the conversation, and Loom video embedded in the thread. Broadcasts reach a chosen set of clients as separate private messages rather than a shared conversation, which suits work where adherence, history, and personal context stay between coach and client. A message of the day shows a dashboard announcement to every client, or to the clients on chosen services, for the dates you set.
You set up onboarding for each service. New clients receive a login link, a customizable agreement, a signup form, optional payment collection, and the resources attached to that service. The service also sets their check-in schedule. Setup help is hands-on, including a free onboarding call with the founder.
Switching from Get Seismic
A number of coaches have switched to Apotheo from Get Seismic. For those moves, Get Seismic offered an export and Apotheo used an automated script to import supported data from each client’s archive. The importer handled records such as check-ins, coach and client messages, measurements, nutrition logs and targets, body weight, day types, and progress photos from a specific archive format.
That importer is older, and it has not been tested with a current Seismic export for this comparison. Apotheo would inspect a current export before confirming what can be moved. If Seismic has changed its archive structure, filenames, fields, or date formats, the importer may need adapting. Apotheo can assist with the switch once the available export has been assessed.
After importing the available records, you still set up how you will coach in Apotheo:

- check-in questions and their answer types per service

Invites go out one by one, and each client connects a tracker again. Nutrition logs stay in the tracker where they were created, and new logs sync into Apotheo for you to review alongside adherence, habits, and measurements.
Check how you would get data out later. On Apotheo you can export a client roster CSV and a per-client archive covering check-in answers, habits, measurements, daily nutrition and wellness data, nutrition target history, signup answers, message history, and progress photos. Messages arrive as text files and photos as image files rather than CSV rows. Retention follows Apotheo’s privacy policy, which keeps personal information only as long as necessary for the purposes it sets out. The pages checked do not establish a post-cancellation retention window for either platform.
