What you gain: a product built around check-ins
Both platforms offer recurring check-ins. The differences are in scheduling, the information included, and how you review and reply.
In Apotheo, you set the recurring check-in schedule for each service you offer. Measurements, questions, and progress photos can each have their own schedule. One service can require nutrition tracking and questions weekly, collect measurements every two weeks, and photos every four weeks. Overdue check-ins auto-skip after a delay you configure, so a client who misses a week does not leave a gap that has to be cleared by hand.
When you open a submitted check-in, you see notes, progress photos, measurements, data synced from Apple Health, Ōura, Whoop, Fitbit, or Garmin where the client has connected one, food logs with adherence to that client’s assigned nutrition targets and a table of each day’s macro totals, habit completion, prior messages, and the answers to the service’s questions. You can compare a habit streak, a low-adherence Thursday, and a stalled measurement trend on the same screen.
You can reply on that same screen using rich text, attachments, quote replies that pull in the client’s answers, Loom video, or built-in voice recording. The editor autosaves and can pop out, keeping your draft visible as you scroll through the data.
You choose the check-in questions for each service. The available question types are scale (e.g. 1 to 5), short text, long text, multiple choice, single choice and dropdowns, yes or no, number and date, and file uploads for video, documents, and images. Any question can be required or hidden, or carry help text you write. You can give experienced clients a shorter check-in and offer a longer questionnaire on a service for clients who need more support.
Nutrition targets and connected food trackers
Trainerize includes daily nutrition goals, variances, and weekly compliance on every plan, including Free. Apotheo offers six nutrition target types, among them protein only, fiber goals, and tracking with no target at all. You set the type per client. A fat-loss client can use full macros, another can have a protein floor with no calorie target, and someone still learning to log can track without a target.
You can also create as many custom goal types as you need, starting from examples such as Training Days and Rest Days, and assign nutrition targets inside each one. The check-in shows adherence to the assigned nutrition targets beside the daily macro table, so you can compare what you prescribed with what the client logged.
Apotheo has no built-in food log. It offers nutrition tracking as an integration, with seven supported connections plus MacroFactor through Apple Health on iOS. MacrosFirst logs sync into Apotheo, and nutrition targets you set in Apotheo can sync back to MacrosFirst. A client connects one tracker at a time, because two would overwrite each other on sync.
The check-in depends on the client keeping their tracker connected and logging in it. If a client stops logging, nothing syncs and the check-in shows the gap. Clients keep the tracker they already use.
Client payments are part of the standard workflow
Trainerize’s Stripe Integrated Payments costs $10 a month on Grow and Pro and is included on Studio. Apotheo includes its Stripe-connected billing workflow. A client added to a paid service is prompted to pay when they first log in, and Apotheo tracks the subscription after that. An overdue client must update their card details before submitting a check-in. If paid access expires, the client must pay again before submitting one.
You can set up a subscription, a single payment, or a deposit, then give the client several choices or build a sequence of pricing phases. A deposit can lead into recurring billing, for example, while an introductory phase can move to the normal rate automatically. Apotheo’s pricing options also support fixed-count and open-ended subscriptions across several billing frequencies.
Promotion codes, pricing changes, billing-date moves, and optional proration are handled through the Stripe connection. From Apotheo, you can pause and resume a client, schedule or apply a cancellation, issue full or partial refunds, and see payment history and Stripe receipts. Automatic tax can be configured in Stripe. Most routine subscription management happens in Apotheo, while Stripe handles checkout, payouts, and disputes. Processing rates and available methods vary by Stripe account and country.
What you would give up
These Trainerize features would need another tool or a change to how you deliver coaching.
No native workout builder or conventional exercise library. Trainerize has a workout builder and an exercise library for programming training. Apotheo has neither. Training plans can be delivered as files or links, with optional video, and exercise demonstrations are organized as a Resources category and attached to a check-in reply. Apotheo delivers plans; it does not build them.
No native food logging. Trainerize offers in-app meal tracking with photos and food libraries, barcode scanning in the US, Canada, Australia, and the UK, daily nutrition goals, habits, PDF meal plans, variances, weekly compliance, and graphs, with Basic tracking included on every plan including the Free plan. Trainerize’s integrations page also lists MyFitnessPal and Fitbit nutrition sync, bringing logged meals, calories, and macros into the app. Apotheo relies on the integrations above. If you want clients to log food inside the coaching app, you would lose that option.
No generated meal planner or built-in recipe database. Trainerize gives PDF meal plans on Basic and, with the Advanced Nutrition Coaching add-on, a Smart Meal Planner covering up to seven days, recipes, meal swaps, and grocery lists. Apotheo generates no plans and keeps no recipe database; plans go out as files or links.
No interactive group conversation. Trainerize offers groups and in-app messaging, including group messages, voice messages, and video calls. Apotheo has one-to-one conversations supporting rich text, attachments and photos, voice recorded in the conversation, Loom video recorded from the editor and embedded in the conversation, resource links, and quote replies, plus broadcasts that reach a chosen set of clients as separate private messages.
No separately listed app under your own brand. A store-listed app under your own name means your own Apple developer account, which for a business requires a DUNS number, plus whatever the vendor charges for it. Trainerize offers a Pro Branded App with a one-time setup fee and an Apple Developer account requirement, a separate Android store listing on Pro, and store listings included on Studio and Enterprise. Apotheo applies logo and app-icon treatment inside the Apotheo client app once you have 20 or more clients, and gives you a custom client URL. The app your client installs still belongs to the vendor.
If you rely on any of these features to deliver your service, decide how you would replace it before moving.
Pricing, checked September 2026
Apotheo charges $10 per active client per month, with paused and lapsed clients not billed and no tiers or add-ons to select. Stripe’s standard rates apply to payments processed through Apotheo and are not set by Apotheo; see Stripe pricing for current processing rates. Trainerize charges by client seats, with paid add-ons on top.

Pro 30 at $79 was read from Trainerize’s pricing comparison table. Its FAQ states $25 at five clients and $135 at fifty but does not spell out the intermediate steps in static text. Treat the $79 figure as provisional. The Pro 15 monthly price was not found in that static text at all, which is why the crossover below is a range.
For a nutrition coach who needs Advanced Nutrition Coaching and Stripe Integrated Payments, Trainerize totals $40 at two clients, $55 at five, $134 at twenty, and $190 at fifty. Apotheo costs $20, $50, $200, and $500 at the same roster sizes. Apotheo is lower through five clients; Trainerize is lower at twenty and fifty. The crossover above five falls between six and eleven clients because the Pro 15 price is not in the static pricing text.
The billing models differ. In Trainerize, the account owner changes plans: upgrades take effect immediately, downgrades apply at the end of the cycle, and the owner must fit the client list to the new seat limit before downgrading. Its documentation does not describe automatic resizing with the active client count. Apotheo bills per active client each month, so the bill follows your roster, and paused and lapsed clients are not billed. Payments, resources, integrations, and teams are included for every Apotheo coach.
Processing fees depend on country and volume and are set by neither platform. For nutrition coaches comparing in-platform nutrition tools and payments, the comparable Trainerize subscription includes both Advanced Nutrition Coaching and Stripe Integrated Payments. Annual billing takes 10 percent off Trainerize’s published prices, and its permanent Free plan for one client has no Apotheo equivalent.
Branding, custom URL, and app listings
Logo and app-icon treatment. Apotheo applies your logo and app-icon treatment inside the Apotheo client app once you have 20 or more clients. The client installs the Apotheo app and sees your logo.
A client URL on your own domain. Apotheo offers a custom client URL on your own domain. This gives clients your own web address for login and onboarding; it does not create a separate app-store listing.
The app the client installs. A store listing under your own name requires your own Apple developer account, a DUNS number if you trade as a business, and whatever the vendor charges for it. On Apotheo it belongs to the vendor. On Trainerize the Pro Branded App is a one-time $169 setup fee plus an Apple Developer account at $99 a year paid to Apple, as published in the pricing FAQ, and Studio and Enterprise include store listings in the plan.
What that means for you. If you want a branded client portal, your own web address, and your icon inside a shared app, Apotheo covers that once you have 20 or more clients. If you need your own name on an App Store listing, Apotheo does not offer that, and Trainerize’s branded app may be the better fit.
Teams, messaging, and onboarding
Teams. Trainerize has five trainer roles, owner, admin, manager, shared trainer, and trainer, with access limited to assigned locations and clients. Apotheo caps neither coaches nor clients, offers owner, admin, and coach roles, gives each coach their own assigned clients, and moves clients between coaches. Six of Apotheo’s published Coach Stories are coaches running teams on the platform: Sohee Carpenter, Kate Lyman, Laura Savino, Emilia Thompson, Anna Munday, and Alexa Mina.
Messaging. An Apotheo message thread supports rich text, attachments and photos, voice recorded in the conversation, Loom video recorded from the editor and embedded in the thread, links to resources, and quote replies that keep a long thread readable. Broadcasts reach a chosen set of clients as separate private messages. A message of the day shows a dashboard announcement to every client, or to the clients on chosen services, for the dates you set. If your group coaching relies on a shared thread, Trainerize provides one and Apotheo does not.
Onboarding. Apotheo adds a client to a service with a login link, a customizable agreement, a signup form, optional payment collection, and the resources you attach to the service. The service defines the check-in cadence from then on. Setup help is hands-on, including a free onboarding call with the founder.
Moving your clients from Trainerize
Trainerize’s Help Center article updated August 24, 2026 describes which data you can export.
There are four export options. The client list exports as a CSV of five fields: first name, last name, email, phone number, and trainer name. Workouts and programs are not exportable as structured data and can only be saved as PDFs through the browser Print dialog. With the Stripe Integrated Payments add-on, transactions including payments and refunds export as a CSV from Payments, Transactions. API access to goals, habits, body stats, nutrition, workouts, and appointments exists on Studio and Enterprise plans, and not below them.
The article states that “workout history, progress statistics, body measurements, and program adherence” cannot be exported. Nutrition logs, check-in form responses, messages, and progress photos are a separate case. No export option for them appeared in the Help Center pages checked in September 2026. Ask Trainerize support what it will supply, in what format, and how long it takes, before setting a migration date.
Apotheo offers assisted migration limited to whatever Trainerize exports. You rebuild the rest:
- Services, including the check-in cadence and the separate schedules for measurements, questions, and photos
- Check-in questions and their formats, with the required, hidden, and help-text settings per service
- Nutrition target types and any named goal types, assigned per client
- Habits and resources, including the categories holding demo videos and other materials
- Any training that lived in the workout builder, recreated as files or external links with optional video
Each client then connects one supported tracker of their choice. Nutrition data reaches the check-in review once that connection is made.
Check how you would get data out of Apotheo later. In Apotheo you can export a client roster CSV and a per-client archive covering check-in answers, habits, measurements, daily nutrition and wellness data, nutrition target history, and signup answers as CSVs. Message history comes as text files, and progress photos as image files. File-upload answers inside check-in questions, and invoices or full payment history beyond the transactions view, are not documented in the material checked, so confirm those if your accounting depends on them.
Save the records you need before cancelling. Trainerize’s Business User Terms of Service, last updated August 1, 2026, say it “may delete your Account and your Content immediately upon cancellation”, and that on termination the account is deleted and access to information provided, generated, or stored on it ends. Its Privacy Policy retains personal information “as long as necessary” to fulfil the purposes it describes, meet legal obligations, and resolve disputes. Apotheo’s privacy policy keeps personal information no longer than the period you hold an account, subject to legal requirements and backups. Neither vendor promises that check-in history arrives on the other platform, so do not build a migration plan on the assumption that it will.
Who should stay with Trainerize and who should switch to Apotheo
Stay with Trainerize if you program training inside the coaching app, generate meal plans and recipes there, or expect clients to log meals natively with barcode scanning and compliance views. It is also the better fit when your service needs a shared client thread, five roles with location-specific permissions, or a store-listed app.
Switch to Apotheo if your service is based on recurring nutrition check-ins and you want to review nutrition, habits, progress, and client answers before replying in one place. It also fits when nutrition targets need several types and custom goal types, or when clients already use different tracking apps and you want them to keep those apps. Its billing follows the active roster, with paused and lapsed clients unbilled and no add-ons to manage.

- Which exports Trainerize will provide beyond the documented client-list CSV, workout PDFs, and transactions CSV, confirmed in writing, including whether any client history can be supplied on a Grow or Pro account and in what format
- Whether the Studio or Enterprise API reaches the data you need, and whether your current plan qualifies for it
- Which add-ons your current Trainerize plan needs to keep the service intact, including Advanced Nutrition Coaching and the Stripe add-on, and whether Basic tracking would do
- Which nutrition tracker each client actually uses, whether it is among the seven Apotheo supports, and which clients would be on MacroFactor through Apple Health on iOS
- How training plans reach clients after the move, given files or external links with optional video and Resources for demo videos
- How your Trainerize trainer roles, client assignments, and reassignments map onto Apotheo’s owner, admin, and coach roles
- How long your Trainerize account and content are retained after cancellation, and what confirmation you need before closing it
