Move your nutrition coaching to Apotheo
Changing platforms is a chore, and the worry is usually your clients. We’ll look at your export with you, plan what moves, and help you set up check-ins and targets before anyone is invited.
- Clients see nothing until you invite them
- Keep your old platform while you test
Where you’re switching from
Everfit’s help docs describe exporting a single form response or workout as a PDF, plus a sales export if you use its Payments add-on. Ask Everfit what else it can supply before you set a date. Bring your client list and check-in questions, and we’ll set them up in Apotheo with you.
Trainerize’s help docs describe a client list CSV (name, email, phone, and trainer), workouts and programs as PDFs, and a transactions CSV with its Stripe add-on. The same docs say workout history, progress statistics, body measurements, and program adherence can’t be exported. Bring the client list and your check-in questions, and we’ll set up the rest with you.
TrueCoach’s help docs describe a client info CSV, per-client workout exports as text files, workouts and programs as PDFs, and invoice PDFs. TrueCoach check-ins are built as workouts, so check the PDFs include the answers you want to keep. We’ll look at the files with you and set up check-ins in Apotheo.
QuickCoach’s Coach Workflows add-on emails a client list CSV, and plans and Insight Reports save as PDFs. Its help docs don’t describe exporting check-in answers, habit history, or food logs, so ask QuickCoach before you set a date. We’ll turn your plan questions into scheduled check-ins.
Coaches have moved to Apotheo from Get Seismic before. For those moves, Seismic supplied an export and we imported check-ins, messages, measurements, nutrition logs and targets, and progress photos. That importer is older, so we’ll check a current export with you before confirming what moves. Seismic collects payments through Stripe Connect, so your clients’ subscriptions can usually be linked to Apotheo instead of set up again.
PT Distinction’s help docs don’t describe what it exports. Ask which client records, forms, measurements, photos, and nutrition history it can supply, and in what format, then we’ll look at the files with you.
ProCoach’s help centre needs a Precision Nutrition login, so ask PN what client records, check-ins, measurements, photos, and messages it can export, and in what format. PN’s curriculum stays with PN: bring your own resources, and we’ll set up services and scheduled check-ins with you.
Practice Better’s help docs describe exporting client data. Ask which form responses, journals, measurements, and files the export includes, then we’ll look at the files with you. Your recurring forms become scheduled check-ins in Apotheo, and each client connects a supported food tracker.
Bring your client list and the questions you ask each week. We’ll turn them into services and scheduled check-ins, and each client connects their tracker once.
Coaches come to Apotheo from fitness platforms, other check-in tools, and spreadsheets. Each platform exports different things, so we look at yours before promising what moves.

How the move works
1. Talk through your move with Adam
Book a free onboarding call with Adam, Apotheo’s founder. Tell him how you coach, how many clients you have, and what you want to bring across, including your payment setup.
2. Share your client list or export
Send your client list or the export from your current platform. We’ll look at it with you and agree what can move and what you’ll set up again. For larger rosters, we assess migration help case by case.
3. Set up, test, and invite clients
We’ll help you set up check-ins and targets. Start with one or a few clients if you like, keep your old platform while you check everything, and invite the rest when you’re ready.
What you’ll set up
| In Apotheo | What to bring |
|---|---|
| Services | Your packages and how often clients check in |
| Check-ins | The questions you ask each week |
| Nutrition | Goal types and each client’s targets |
| Habits and resources | Habits you track and the guides you share |
| Training | Programs as files or links |
| Trackers | Nothing: each client connects their tracker once |
You’ve stayed put for good reasons
“My clients will have to learn a new app.”
Clients use Apotheo’s iOS or Android app. If they track nutrition in a supported app, they connect it once and keep logging where they already do.
“I’ll lose their history.”
What can move depends on what your current platform exports. We’ll go through the export with you before you commit, so you know what comes across and what to keep elsewhere. Keep your old account until you’ve checked.
“Billing will get messy.”
If you have your own Stripe account and clients are already Stripe Customers, Apotheo can link those customers. Some subscriptions can come across too, depending on how your current platform created them. Otherwise, clients enter payment details in Apotheo.
Before changing anything, review each client’s subscription and next payment with Adam. Agree when the old billing ends and the new billing starts, and check it before anyone is charged, so no client pays twice.
“It’ll take weeks.”
It depends on your roster and your export, so there’s no fixed turnaround. We’ll scope it on your call.
A coach’s move
“It’s almost too easy.”
Hannah booked her onboarding call about 20 minutes into her trial and moved all her clients in one afternoon. Read Hannah’s story.
